Challenge
As the portfolio within CBRE Investors was ever increasing, so were its needs to remotely manage its myriad documents and property information online. Documents needed to be stored in a standardized fashion, and its directors needed quick access to documents to keep pace with the level of acquisitions and dispositions CBREI was managing.
Solution
CBRE Investors turned to Axis Portal for the solution. Axis was able to develop a client based Control Panel to allow directors access to each high rise office property owned by CBREI. Through this secure portal site, CBREI associates can access leases, service contracts, management agreements, and other due diligence documents, all of which are stored within a proprietary file folder organizational structure.
In addition to the document library offered through Axis, CBREI has the ability to use other features, such as Message Blaster, content Manager, and the recently released Lease Intelligence. Through these tools, associates can monitor the communications, marketing content and messaging, and lease administration for each of their properties. Associates can even use the batch upload/download feature in the Axis Document Library to upload or download files from CD's or network drives to speed up the document storage process. Additionally, links to documents stored in a secure environment can be sent through a special email tool in Axis to facilitate temporary access to outside parties for due diligence discussions when immediate access to documents and contracts is required.
Result
Axis is now utilized across CBREI's entire portfolio of class A office buildings. "CBREI depends on the Axis Portal for all of their record retention, now that they have gone paperless.
